What happens to a packing list

The short version, for the person who has to answer “where does our shipment data go?”.

When the list leaves your browser

The plan is calculated in your browser and kept in your browser. The list and the plan are sent to us only on the seven occasions below: when you download loading steps (the PDF) or a file; while Pass, Pro or Team is on, once for each plan; when you ask for a sign-in link; when you bring a plan into your account; and when you save, share or report a problem.

WhenWhat is sentWhat we keep
You download loading steps (the PDF) or a file
What is sent: The list and the plan, once, to check the plan again and decide whether the free footer goes on
What we keep: One line that a PDF or a file was made — see below. Not the list or the plan.
Pass, Pro or Team is on (signed in)
What is sent: Each plan, once, about 1.5 seconds after it stops changing, so we can stamp it: the stamp lets that exact plan download and share after your plan ends
What we keep: Nothing. The stamp (a signed fingerprint of the plan) is kept on your device.
You ask for a sign-in link
What is sent: The list on screen, so the link opens it on any device
What we keep: As a draft: 30 days if you never sign in; once you sign in it is in your account, for 365 days after its last change.
You bring a plan into your account (“Bring it over” after signing in)
What is sent: The list on this device
What we keep: In your account, for 365 days after its last change.
You save a plan
What is sent: The list and the plan
What we keep: In your account — see “When you share or save”.
You share a plan
What is sent: The list and the plan (or the saved plan's id)
What we keep: Behind the link until its end date — see “When you share or save”.
You report a problem
What is sent: Your message and, for a plan that is not saved, the list and the plan, so we can replay it
What we keep: The report, up to two years. We are emailed your message, never the list.

A file you upload (.xlsx, .csv or PDF) is read in your browser too: the file itself is never sent to us — only the list read from it, on the occasions above. Signed in, the column layout you confirm (which column holds what, filed under a fingerprint of the column names, never the lines) is kept for your team, so the next list of that layout reads itself.

When you download loading steps

  • The list and the plan go to our server once, so it can check the plan again and decide whether the free footer goes on. They are not stored and not logged.
  • We keep one line that says a PDF (or a file) was made: a random number, the time and — if you are signed in — your account, the saved plan it came from and the payment that covered it.
  • Signed out, that line is deleted after 30 days. Signed in, it stays with your account (it decides whether a Pass can still be refunded) until you delete the account.

When you share or save

  • The plan is stored once, exactly as it was planned (the list, the plan, the engine and equipment-table versions and two fingerprints that let anyone re-check it). It is never recalculated behind your back.
  • A share link is a long random address, hidden from search engines, with a fixed end date (30 days on Free, one year on paid plans). You can delete it any time.
  • Saved plans belong to your team; nobody outside it can open them. An automated test checks this before every release.

How it is protected

  • Every connection is encrypted (HTTPS). The database is encrypted at rest by our provider.
  • Sign-in is a one-time email link — there are no passwords to steal.
  • Uploaded files are size-checked before they are read; logos are re-written without hidden metadata.
  • Report a security problem to support@trimload.com (see security.txt).

When you delete

Account → Data → “Delete account…” removes your account, plans, drafts, share links, item lists and logos. Copies in backups are gone within 30 days. Details and every company that processes data for us: privacy.
